In a hospitality and wine industry setting, the senior payroll specialist is in charge of accurately and promptly handling payroll for about 260 employees across various organizations. This job ensures that all pay practices follow federal, state, and local laws regarding wages and working hours while also keeping payroll and employee records, managing benefits and deductions reports; and serving as the main contact for payroll questions. Strong analytical abilities, confidentiality, and the capacity to collaborate with HR, accounting, and operations departments are all necessary for this role.

Qualifications and Eligibility Criteria

Strong familiarity with internal controls, balance, and preparation of payroll procedures.
Knowledge of wage and hour regulations at the federal, state, and California levels.
High precision, discretion, and attention to detail.
Outstanding time management and organizational abilities.
Strong analytical and problem-solving abilities.
Proficiency with sophisticated Excel and the Microsoft Office Suite.
Competent with HRIS and payroll systems (ADP is a plus).
Excellent interdepartmental collaboration and communication abilities.
Equivalent work experience is accepted
An associate’s or bachelor’s degree in accounting, finance, human resources, or a similar discipline is desired.
At least five to eight years of experience processing payroll, ideally in multi-entity, hospitality, or winemaking settings.
Certification in FPC or CPP is desirable.

Role and Responsibilities:

Payroll for about 260 people (20% salaried, 80% hourly) should be prepared and processed every two weeks.
Oversee payroll runs for many entities, making sure that commissions, tips, hours, and salary compensation are all accurate.
Examine and enter shift differentials, PTO, overtime, and timecards.
Before submitting, please reconcile the payroll registers and resolve any discrepancies.
Assure adherence to payroll, wage, and hour laws at the federal, state, and municipal levels (with a focus on California).
Manage and document benefit contributions, deductions, and garnishments.
Ensure that employee data and payroll records in HRIS/payroll systems are accurate.
Create reports as needed for accounting, management, and outside organizations.
When it comes to new hires, terminations, and changes in job status, collaborate with HR.
Assist with audits and supply payroll records as required.
Act as the main point of contact for payroll-related questions, communicating in a timely and correct manner.
Work together with the accounting and HR departments to guarantee data correctness and consistency.
Help with W-2 distribution, year-end reporting, and benefit reconciliations.
Determine and suggest changes to payroll systems, procedures, and processes.
Carries out additional tasks as directed by your manager.
